Staffing buyers split by segment. For light industrial and logistics, the people who matter are plant managers, warehouse and operations managers, and the HR manager at the site. For office and administrative roles, it is HR directors and office managers. For professional and IT recruiting, it is department heads, controllers, IT directors and talent acquisition leads. At larger employers, procurement or a managed service provider program may control the vendor list.

We open with the role, not the agency:

  • Long-open posting: "I saw your forklift operator role in Lakeland has been up for a few weeks. Is second shift still short?"
  • Seasonal peak: "Most distribution centers we talk to are planning Q4 headcount now. How many extra associates are you expecting to need?"
  • New facility: "Congrats on the new plant in San Marcos. Who is handling the first 50 hires?"

Objections we plan for:

  • "We have enough agencies." We ask which roles their current agencies struggle with, and offer to work just that one.
  • "Your markup is too high." We do not discuss pricing. We ask what an empty shift costs them in overtime and missed orders, and book your team to talk numbers.
  • "Go through our vendor portal." We ask how vendors get added and when the next review happens, and log it.
  • "We hire direct." We ask how long their hardest role has been open. If the answer is months, that is the meeting.
Qualified meetingWhat a qualified meeting looks like for a staffing firm

A good staffing meeting should end with a job order or a clear path to one. Before we book it, we confirm four things.

  • Budget. Whether they use agencies today or have approved spend for temp, contract or direct-hire help. We do not discuss your markup or fees.
  • Authority. Who approves new vendors and who places orders. Often that is HR for approval and the hiring manager for orders. We try to get both names.
  • Need. Specific roles, headcount, shift and pay range, plus why their current approach is not working.
  • Timeline. Start dates, seasonal peaks, facility openings and when their vendor list is next reviewed.

Your account manager gets a CRM note with all of that, plus the current agencies if named and anything about compliance needs like drug screening, background checks or E-Verify.

Some employers will not need help this month. We log the reason and the next likely need, like a Q4 peak or a contract award, and come back on time.

Why referrals stop being enough

Referrals and repeat clients keep a staffing desk alive, but they rarely grow it into new verticals or new cities. When your two biggest clients slow down at once, referrals do not refill the gap fast enough. Outbound lets you choose the next client instead of waiting for one.

Here is the kind of sequence we would test for a light industrial staffing firm targeting warehouses and manufacturers. Names are made up.

Touch 1, call (Monday, 7:45 a.m. local, before shift meetings): "Hi Tom, this is Safiya calling for Summit Workforce. I noticed your warehouse in Ontario has had a picker posting up for a while. Quick question: are you short on first shift, second, or both?" If Tom engages, we ask how many people, how fast and who else is helping.

Touch 2, email (same day): Subject: second shift in Ontario. "Tom, thanks for the minute. We place pickers and forklift operators in the Inland Empire every week. If you send the shift details, we can tell you by Wednesday how fast we could fill it."

Touch 3, LinkedIn to the HR manager (two days later): "Spoke with Tom about second shift staffing. Happy to get our paperwork to you so we're approved if he needs us."

The structure stays the same across verticals: find a real open role, ask one question about it, offer something concrete and get both HR and the hiring manager in the loop. For professional recruiting, we swap warehouse postings for long-open accountant, engineer or IT roles and call the department head.
