Here is a stage set we often start from for service businesses selling to other businesses. Every stage has an exit rule, the thing that must be true before the deal moves on.

  • 1. Meeting booked. A qualified meeting is on the calendar with a decision maker. Exit: the meeting was held.
  • 2. Discovery done. You understand the problem, the people involved and the timeline. Exit: need, authority and timing confirmed and logged.
  • 3. Solution or site visit. Demo, walkthrough, site survey or scoping call completed. Exit: the buyer agreed the approach fits.
  • 4. Proposal sent. Pricing and scope delivered. Exit: the buyer has reviewed it with you live, not just received an email.
  • 5. Negotiation. Terms, contract or procurement in progress. Exit: verbal yes or a signed contract.
  • 6. Closed won or Closed lost, with a required reason for lost deals.

Two rules make this work. First, every open deal must have a next step and a date. Second, a deal with no activity for a set number of days gets flagged automatically. Those two rules alone fix most inflated pipelines.

A contractor bidding public work, a staffing firm filling orders and a SaaS company running trials will each tweak this. That is the point of the discovery call.

Data hygieneKeeping CRM data clean after setup

A CRM is clean on the day it launches. MarketingSherpa's data, used in HubSpot's decay simulation, suggests a B2B database decays about 2.1% a month as people change jobs and email addresses die. Here is how we keep it from sliding:

  • Naming rules. Company names, titles and states entered one way. "Texas", not "TX", "Tex." and "texas".
  • Duplicate rules. Match on email domain and company name on every import, and merge before records are assigned.
  • Required fields at the right moment. Not at contact creation, but when a deal moves stage. That keeps logging fast and the important data complete.
  • Bounce and wrong-number handling. When an email bounces or a number is dead, the contact is flagged for research or archived, not left to waste the next rep's time.
  • Monthly review. A short checklist: new duplicates, deals with no next step, contacts with no owner.

None of this needs a full-time admin. A 30-minute review each month, run from saved views we build for you, keeps the database honest.

Which CRMHubSpot, Salesforce, GoHighLevel or Zoho?

We work in all four and don't sell software licenses. Our honest, simple take:

  • HubSpot is the easiest to adopt for small and mid-size sales teams that also run marketing email. Clean interface, good sequences on paid tiers.
  • Salesforce fits larger teams with complex processes, many products or strict reporting needs. Powerful, but it needs an owner to keep it tidy.
  • GoHighLevel is popular with agencies and local service businesses. Pipelines, calendars, SMS and email automation in one place, which suits fast speed-to-lead workflows.
  • Zoho CRM is a capable, budget-friendly option, especially if you already use other Zoho apps.

If you already own one, the answer is usually to fix it rather than switch. Migrations cost time and history. We will tell you if your current CRM is the problem or just the setup.

The real test is simple: can a rep log a call, update a deal and see their tasks for the day in under a minute? If yes, the tool is fine. If no, it is usually setup, not software.

Can you fix our existing CRM instead of starting over?

Usually, yes, and it is often the better choice. We audit what is there, keep what works, archive what doesn't and clean the data. Switching platforms is only worth it when the tool truly doesn't fit.

Our team won't use it. How does setup change that?

Can you migrate us from spreadsheets or another CRM?
