In commercial cleaning, contractors, logistics and insurance, the first voice you hear is often a receptionist or office manager. We treat them as the most useful person in the building, not an obstacle.
- We use the decision maker's name and a short, honest reason for the call.
- We ask for help: "Who handles your facility contracts?" gets more answers than "Can you put me through?"
- We ask for the best time to call back and the direct line or email, then log it.
- We never pretend to be a customer or a vendor with an open invoice. That burns the account for good.
We also time calls to reach owners before the office opens or after it quiets down, when they often answer their own phones.
Every gatekeeper conversation gets logged: the receptionist's name, what they told us, the best time to reach the owner. The next call starts warmer. The second or third polite call to the same front desk often goes better than the first, because by then the caller is a familiar voice and not a stranger.
