How it works, in depth

Before a single cold email goes out, we work through this list. Most of it comes straight from the Gmail and Yahoo sender rules that took effect in 2024.

  • Separate sending domain. A lookalike of your main domain, such as getyourbrand.com, that redirects to your website. If it gets burned, your client email is safe.
  • SPF. A DNS record that lists which servers may send for the domain.
  • DKIM. A digital signature on every message that proves it wasn't altered.
  • DMARC. A policy record that tells inboxes what to do with mail that fails SPF or DKIM. Google and Yahoo require at least p=none for bulk senders, and the From domain must align with SPF or DKIM.
  • One-click unsubscribe. Gmail and Yahoo require bulk marketing senders to support a one-click list-unsubscribe header and honor it within two days. We also include a plain opt-out line in every cold email.
  • Spam rate under 0.3%. Both providers set this ceiling. We monitor through Google Postmaster Tools and stop a campaign long before it gets close.
  • Warm-up and low daily volume. New inboxes start small and grow over weeks. We spread sending across several inboxes instead of pushing one hard.
  • Verified list. Every address is checked before sending. High bounce rates are one of the quickest ways to hurt your reputation.
  • Plain text, few links. No images, no tracking-heavy templates, one link at most.
The lawCAN-SPAM basics for B2B email

CAN-SPAM covers all commercial email, and the FTC is clear that there is no exception for business-to-business email. You don't need opt-in consent to send a cold B2B email in the US, but you do need to follow the rules:

  • Honest headers. The From, To and Reply-To must identify you accurately.
  • Honest subject lines. No "Re:" on a first email, no fake urgency that misdescribes the content.
  • Identify the message as an ad where it is one.
  • Include a valid physical postal address for your business.
  • Tell people how to opt out, and honor it within 10 business days. The opt-out must keep working for at least 30 days after you send.
  • Watch what others do on your behalf. You are responsible even if an agency sends for you. That includes us, which is why we follow these rules on every campaign.

If you sell into other countries, other laws apply. We focus on US buyers in Florida, Texas and California, and we will tell you if your list needs a different approach.

Email works best as part of a sequence, and better still alongside phone and LinkedIn. Here is a starting point we adjust for each client:

  • Day 1, email. Short note: who we are, the problem we see in their industry, one question.
  • Day 2, LinkedIn. Profile view and a connection request without a pitch.
  • Day 3, call. Reference the email. If no answer, no voicemail on the first try.
  • Day 5, email. Reply in the same thread with one useful point: a common mistake, a quick benchmark, a relevant example.
  • Day 7, call. Different time of day. Short voicemail if we are testing voicemail.
  • Day 9, LinkedIn message if connected. One line, no attachment.
  • Day 11, email. New angle: a different problem or a different stakeholder.
  • Day 14, email. A polite close: "Should I stop reaching out, or is there someone better to talk to?" This often gets the most replies.

Anyone who replies leaves the sequence and gets a personal answer. Anyone who opts out is removed everywhere, that day.

Not if it is set up right. We send from separate domains that redirect to your site, with their own SPF, DKIM and DMARC. Your everyday client email stays on your main domain, untouched.

Is cold B2B email legal in the US?

Yes, under CAN-SPAM, as long as you follow the rules: honest headers and subject lines, a physical address, a clear opt-out, and opt-outs honored within 10 business days. We build every campaign around those rules.

How many emails will you send a day?

Fewer than you think. We keep volume per inbox low and spread it across several warmed inboxes. Protecting deliverability matters more than raw volume.

Which tools do you use?

Your existing tool if it works: Lemlist, Outreach, Salesloft, Apollo.io, HubSpot sequences or GoHighLevel. We are not tied to any vendor.

Do you write the emails or do we?

We write them and you approve them. We start from your best customers' language and test versions against each other. Nothing goes out without your sign-off.

What about open rates?
